Q: customers outside Europe: Will you be responsible for the shipment or we are to send our forwarder to collect the items? What we usually do is when we receive the fedex, ups, tnt or dhl number.
We fill in the airway bill in for you.
We contact the forwarder and arrange the shipment.
As far as liability for damage of goods or loss of goods due to the forwarding agent. You are responsible and will have to take an insurance.
You can also request for an extra insurance to be applied for when filling in the airway bill.
(however most customers do not take an insurance)
Goods will be well packed suitable for international transport!

When you use another forwarding agent. (such as Kuehne & Nagel)
Then we cannot fill in the paperwork ourselves, this is done by the contact here in Belgium of the forwarder.
What we do then is send them the necessary documents and they take care.
Usually you will have to place then the order for pick-up (this can only be done when you get a go ahead from us and when goods are ready & packed)

Q: What's the quickest way to get goods to us for customers outside Europe?Answer:
- You place a purchase order (sent with email or fax)
- We sent you a pro-forma invoice
- You wire the money over with wire-transfer (bank charges are usually 25 euro) or you decide that you will pay with a credit card, then charges are +6% ; you will get then an email from paypal in order to pay for the invoice
- You provide us your preferred way of transport. (please provide your UPS, DHL, Fedex,… account)
- Generally it takes 4 working days to get money over internationally from the world towards our bank account.
- We confirm receipt of your payment and proceed with the order to the manufacturer. (done earlier when it’s a standard product)
- We reconfirm the exact delivery date.
- We ship the goods over.
Q: Do you accept returns?
- Returns are accepted only after prior approval.
- Generally for small quantities we can accept goods if in original packaging.
- A credit note will be issued when goods have been checked by quality upon return.
Note: last 5 years we had one return on all our customers, the technical advise we provide + eventual sample shipment prevents returns or wrong orders.
- 15% handling costs will be charged for returned goods. This will be 50% for goods that need to be repackaged.
Q: What's your shipping policy?Customers in the EURO zone receive prices that include free shipping.
Shipment is with GLS, you will always receive a tracking number www.gls-group.eu
Customers outside the European Union receive ex-works prices. You can receive goods:
- By giving your UPS, DHL, FEDEX, TNT, … international number.
- Request us to give an estimate of weight and size to make your own calculation
- By requesting us to quote the transport charges. (typically we charge UPS-express rate www.ups.com )

- When an express service is used and you inform us before 13h00 we can ship on the same day
- When you require standard shipping, you need to inform us before 16h00 and you will be shipped the next day.
Following companies pass our warehouse (for immediate shipment)
- FEDEX: your order needs to be before 13H00
- DHL: your order needs to be before 13H00
- UPS: no possibility to ship on the same day (shipment will be next day)
- TNT: shipment next day
When items are not on stock:
Items are urgent: they can be in our warehouse for a charge of € 120
- 1 day when you’ve placed your order before 10h00
- 2 days when after 10h00
Items are not urgent:
- We ship in one week after your order guaranteed, typically in 4 business days.
- When goods need to be produced a general production lead time applies between 6 and 12 weeks dependant on which product.
Q: What do you charge extra on your invoice?European customers do not get charged anything extra, pricing includes shipping and packaging unless they want an express shipment.
Worldwide customers are quoted ex-works including packaging;
- Payment through wire transfer at Bank charges = 25 EURO
- Payment with paypal at charges = +6%
- Payment with cheque at charges = 45 EURO
If you choose not pay the charges over, we are unable to give you in the future a 30 days payment term
Q: What are the payment terms?West-European & Scandinavian customers (excluding south-Europe)
Receive 30 days nett payment term
Every customer is entitled to receive this payment conditions after a period of evaluation.
New customers in Europe:
- Invoice value is above 5000€ = prepayment
- A declaration of intend needs to be signed to receive 30 days net
All other new customers start with a payment term of prepayment
Q: Can an order be cancelled?Orders for parts on stock can be cancelled. When items need to be produced, the orders are non-cancable, we advise though always to test before and request a sample.
Q: What is your sample policySamples can be obtained free of charge – maximum 2 pieces.
- In Europe they are shipped without a charge with post.
- Outside Europe a UPS, Fedex, DHL number is required.
Before samples are shipped a quote is issued and you get the chance to check if pricing is acceptable.
Q: I'm a USA customer, can I pay in USD?Yes you can
Provided the lead-time of the goods is maximum 12 weeks and your company is based in the USA.
